Milplex B.V. handles personal data with care. This privacy statement explains which data we process, why we do so, on what legal basis, how long we retain data and which rights data subjects have.

Article 2 — When does Milplex process personal data?
Milplex processes personal data when someone visits the website, makes contact, requests a quote, uploads a file, places an order, submits a complaint, signs up for updates, is a supplier or business contact, or otherwise communicates with Milplex.
- Contact via form, e-mail, telephone, WhatsApp or social media.
- Quote requests and project checks, including supplied drawings, sketches, images, DXF, PDF, STEP or other files.
- Execution of orders, production, delivery, invoicing and administration.
- Complaints, service questions, warranty questions and repair arrangements.
- Website use, security, cookie preferences and statistics.
- Sign-up for relevant Milplex updates or custom cases.
- Job applications or responses to vacancies, when received through Milplex.
Article 3 — Which personal data does Milplex process?
Milplex only processes data that is necessary for the purpose for which it was received. Which data this is depends on the situation.

Supplied files: please avoid sending special categories of personal data or confidential third-party data in drawings, photos or project files, unless this is necessary and you have a valid legal basis for doing so.
Article 4 — Purposes and legal bases
Milplex only processes personal data where a purpose and a legal basis exist. The main purposes and legal bases are:

Article 5 — File uploads, drawings and project information
Milplex uses supplied files and project information to assess manufacturability, prepare a quote, plan the work, produce, carry out quality control, deliver, repeat production, provide service and provide evidence in the event of questions or complaints.
Supplied files are not made public unnecessarily. Milplex only shares files with employees, suppliers, carriers, subcontractors or advisers when this is necessary for the execution of the order or for a legitimate business interest.
If project photos or product photos are used for portfolio, website or social media, Milplex takes confidentiality, image rights and privacy into account. Identifiable individuals are only published where an appropriate legal basis exists.
Article 6 — Sharing personal data with third parties
Milplex does not sell personal data. Data is only shared where this is necessary for service provision, administration, security, legal obligations or business operations.
- Website, hosting, e-mail, storage and IT service providers.
- Administration, accounting and invoicing systems.
- Suppliers, carriers, production partners and subcontractors for the execution of orders.
- Payment, banking and collection parties where necessary for payment or collection.
- Legal, tax, insurance or business advisers.
- Government authorities where Milplex is legally required to provide data.
Milplex makes agreements with processors about security, confidentiality and use of data. Where parties process data outside the European Economic Area, Milplex uses appropriate safeguards where legally required.
Article 7 — Retention periods
Milplex does not retain personal data longer than necessary for the purpose for which the data was collected, unless a statutory retention period or legitimate interest requires longer retention.

Article 8 — Security and confidentiality
Milplex takes appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, alteration or disclosure.
- Access to systems and files is limited to persons who need it.
- Business accounts, systems and storage are protected with appropriate access measures.
- Website, forms and files are managed with attention to security and availability.
- Suppliers and processors are chosen carefully and, where necessary, contractually bound.
- Incidents are assessed and, where required, reported in accordance with the GDPR rules on data breaches.
Article 9 — Rights of data subjects
Under the GDPR, data subjects have various rights. A request can be sent to info@milplex.eu. Milplex may ask for additional information to verify the identity of the requester.
- Right of access to personal data.
- Right to rectification of incorrect or incomplete data.
- Right to erasure where data is no longer needed or is processed unlawfully.
- Right to restriction of processing.
- Right to object to processing based on legitimate interest or direct marketing.
- Right to data portability where legally applicable.
- Right to withdraw consent, without earlier processing thereby automatically becoming unlawful.
Milplex responds to a privacy request within one month in principle. For complex requests, this period may be extended as permitted by law.
Article 10 — Marketing and unsubscribing
Milplex may inform business relations about relevant custom cases, material updates, production examples or services that match earlier requests or orders. For newsletters or updates that require consent, Milplex asks for consent in advance.
You can unsubscribe via the unsubscribe link in an e-mail or by sending a message to info@milplex.eu. Milplex will then stop sending the relevant marketing communication.
Article 11 — Cookies
Milplex uses cookies and similar techniques for a well-functioning website, security, preferences, statistics and — only where permitted — marketing or external content. More information is available in the Milplex cookie policy.
Article 12 — Complaints about privacy
Anyone who believes that Milplex does not handle personal data carefully can make contact via info@milplex.eu. Milplex aims to resolve privacy questions and complaints carefully and practically. Data subjects also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Article 13 — Changes
Milplex may amend this privacy statement when legislation, business processes, systems or the website change. The most recent version is made available via www.milplex.nl.
